Choosing a Branded Workwear Supplier: 10 Questions to Ask

The cheapest quote is not always the best value. Here are the questions worth asking any workwear supplier before you commit.

Branded workwear is something you will reorder for years, so the supplier matters as much as the garment. Prices are easy to compare, but the real cost often sits in setup fees, minimum quantities, delays and reorders that do not match. These questions help you compare suppliers on a like-for-like basis.

1. Is there a minimum order?

Some suppliers need a minimum quantity per garment or per design. If you hire one person at a time, that can leave you with stock you do not need. Ask whether you can order a single garment and still have it branded.

2. What does logo setup cost?

Embroidery needs your logo digitised into a stitch file, and some print methods need setup too. Ask whether there is a setup charge, whether it is a one-off, and whether it applies again on reorders. See logo digitising explained.

3. Can we try samples first?

Fit and fabric vary between brands. Samples let your team try garments before you place a branded order. Ask how quickly samples arrive and whether you pay for them.

4. Will we see a proof?

A proof shows the logo size, position and colours before anything is decorated. Never accept an order without one. Our logo placement guide helps you check it.

5. Can you advise on embroidery or print?

A good supplier will tell you which method suits each garment, not just quote what you asked for. See embroidery vs print.

6. How quickly will it arrive?

Ask separately about stock items and branded orders, and ask what happens when a size is out of stock.

7. Will reorders match?

Ask how the supplier keeps your logo file, thread colours and positions on record, so a reorder next year looks the same as today. Choosing garments from established ranges also helps, as they are more likely to stay available.

8. Can we have a trade or credit account?

If several people order, or you want to pay on account, ask about trade accounts. See our trade account setup guide and multi-site ordering guide.

9. What does delivery cost?

Ask about delivery charges and any free delivery threshold, so the total cost is clear.

10. Can you cover everything we need?

One supplier for workwear and PPE keeps branding consistent and paperwork simple. Ask whether they can supply the protective items on your risk assessment as well as branded clothing. See workwear vs PPE: who pays?

How we answer these. No minimum order, free logo setup on orders over £150, free 48hr samples, a proof before anything is decorated, next-day dispatch on stock items, free UK delivery over £250 and trade and credit accounts.

The short version

Compare the whole cost and the whole service, not just the garment price. Ask about minimums, setup, samples, proofs, turnaround, reorders and accounts, and you will know which supplier is genuinely the best value. For budgeting, see our branded workwear cost guide.
